WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In short: we collect personal information that you voluntarily provide to us.

We mainly collect information directly from you, by phone, through our website contact form, or in person. If you contact us through Facebook or another messaging service, or through a business listing such as Google, we will receive the details you send us there. If you were referred to us by another customer, a builder, or another business, they may give us your name and contact details so that we can get in touch with you.

We collect personal information that you provide to us when you get in touch through our website contact form, by phone, or otherwise contact us to ask about our services or request a quote. This may include your name, email address, telephone number, property address, and any details you give us about the work you would like carried out.

If you go ahead with a quote, we will also collect the information needed to carry out the work, which may include your property address, access details, and any information you give us about the condition of your roof.

If you pay us by card or bank transfer, we will process the payment details needed to complete that transaction. Where we use a third-party payment processor, that processor's own privacy notice will also apply to your payment information.

If we take photographs of your roof or property for the purposes of preparing a quote, documenting the condition of the roof or the work carried out, or, with your permission, for marketing, these photographs are personal information and are covered by this notice. We take photographs to show the roof and the work. If a photograph accidentally captures people, vehicles, or neighbouring properties, we will not use it for marketing unless those details are removed or hidden, and we will not deliberately photograph people.

We do not process sensitive information. All personal information you provide must be accurate and complete, and you must let us know of any changes.

INFORMATION AUTOMATICALLY COLLECTED

In short: some information, such as your IP address and browser and device characteristics, is collected automatically when you visit our website.

We automatically collect certain technical information when you use our website, including your IP address, browser and device characteristics, operating system, language preferences, referring URLs, and general location. This information does not reveal your specific identity and is used to maintain the security and operation of our website. Our use of cookies and similar technologies is described in our separate Cookie Policy.

HOW DO WE PROCESS YOUR INFORMATION?

In short: we process your information to provide quotes and carry out roofing work, communicate with you, for security purposes, and to comply with the law.

We process your personal information to respond to your enquiries, prepare and provide quotes, arrange appointments and access to your property, carry out the roofing work you have asked us to do, send you information relevant to that work, request feedback, protect our Services from fraud or misuse, and understand how our website is used so we can improve it.

WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

In short: we only process your personal information when we have a valid legal reason to do so. The reason depends on what we are using your information for.

If you are located in the UK, this section applies to you. Under UK GDPR, we rely on the following legal bases:

Responding to enquiries and preparing quotes: we use your name, contact details, property address and the details you give us about the work you need, on the basis that this is necessary to take steps at your request before entering into a contract, and otherwise on the basis of our legitimate interest in replying to people who contact us.

Carrying out and managing your job: we use your information on the basis that it is necessary to perform our contract with you. This includes arranging access, ordering materials, carrying out the work, taking payment, and dealing with any guarantee claim.

Photographs for quotes, records, and evidence of the work: where we take photographs to assess your roof, record its condition before and after work, or protect ourselves and you in the event of a dispute or guarantee claim, we rely on our legitimate interests in keeping accurate records of our work. You may object to this, and we will consider your objection.

Photographs for marketing: we will only use photographs of your property in our marketing with your consent. You can withdraw consent at any time.

Accounts, tax, and legal requirements: we keep invoices and payment records because we are legally required to, and we may also process information to comply with health and safety, building regulations, or a request from a regulator.

Running and improving our website: we rely on our legitimate interests in keeping our website secure and understanding how it is used, provided this does not override your rights and interests. Where cookies or similar technologies that are not strictly necessary are used, we rely on your consent, as set out in our Cookie Policy.

WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In short: we may share your information with the specific service providers listed below, and in a small number of other situations.

We work with a small number of trusted third parties who help us run our business. These currently include our website host. If we use job management, quoting, or invoicing software to manage your enquiry or job, that provider will also process relevant details on our behalf. If we use a third-party card payment processor, that provider will process your payment details on our behalf. We do not sell your personal information to anyone.

If we use subcontractors to help carry out work at your property, we will share the property details and job information they need to complete that work.

We may also share information if our business is sold, merged, or transferred to another company, in which case your information may be transferred as part of that transaction.

DO WE TRANSFER YOUR INFORMATION OUTSIDE THE UK?

In short: some of the service providers we use are based outside the UK, so your information may be transferred there.

Some of the providers we use, such as our website host, and, if we use them, our email, job management, or payment services, may store or process information on servers outside the UK, including in the United States. Where this happens, we rely on safeguards required by UK data protection law, such as UK adequacy regulations or approved standard contractual clauses, to protect your information.

DO WE SEND MARKETING MESSAGES?

In short: we do not send promotional messages unless you have agreed to receive them.

We will only use your email address or phone number to contact you about your enquiry, quote, job, or guarantee. If we ever want to send you promotional emails or text messages, we will ask for your consent first, and you can opt out at any time by contacting us at nparoofingaberdeen@gmail.com or by using the unsubscribe link in any message we send.

A few things to check with Paul before finalising:

The 12 months for enquiries that don't become jobs is my suggestion, so he can lengthen or shorten it to suit how he works.

If he does send promotional messages, or plans to, the marketing section needs changing to describe what he actually does.

If all his enquiries do come through the website form, phone, or in person, you could take out the sentences about Facebook and referrals in section 5. Otherwise leave them in, since they are accurate for most trades.

Once the rebuild is live, replace the general wording in section 6 with the actual names of the host and any tools, so it matches what is really running.

HOW LONG DO WE KEEP YOUR INFORMATION?

In short: we keep your information only as long as we need it for the purposes in this notice, and the length of time depends on the type of information.

Enquiries that do not lead to a job: if you contact us or request a quote and do not go ahead with the work, we will keep your details for up to 12 months in case you get back in touch, and then delete them.

Job records and guarantees: if we carry out work for you, we will keep the relevant job information, contact details, and photographs for as long as any guarantee or warranty on the work lasts, so that we can deal with any claim made under it.

Invoices and accounts records: we will keep these for as long as the law requires for tax and accounting purposes, which is set by HMRC and is generally several years.

Marketing photographs: if we use photographs of your property in our marketing with your consent, we will keep them until you withdraw your consent or we stop using them.

When we no longer have a legitimate need to process your information, we will delete it or, where deletion is not possible, securely store it and restrict further processing until deletion is possible.

HOW DO WE KEEP YOUR INFORMATION SAFE?

In short: we use reasonable organisational and technical measures to protect your information.

We have put in place appropriate technical and organisational measures to protect the personal information we process. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. Any transmission of information to our Services is at your own risk.

DO WE COLLECT INFORMATION FROM MINORS?

In short: no, we do not knowingly collect data from children under eighteen.

We do not knowingly collect or market to children under eighteen. By using our Services, you confirm you are at least eighteen, or that you are a parent or guardian consenting to a minor's use of the Services. If we become aware that we have collected information from someone under eighteen, we will take reasonable steps to delete it. If you believe we may have collected information from a child, please contact us at nparoofingaberdeen@gmail.com.

WHAT ARE YOUR PRIVACY RIGHTS?

In short: depending on where you live, you have rights over your personal information, including the right to access, correct, or delete it.

If you are in the UK, you have the right to request access to your personal information, request that we correct or delete it, restrict how we process it, receive a copy of it in a portable format, and object to certain processing. You can exercise these rights by contacting us using the details in the "How Can You Contact Us" section below, and we will respond in accordance with applicable law.

If you believe we are processing your information unlawfully, you have the right to complain to the UK Information Commissioner's Office.

Withdrawing your consent: where we rely on your consent to process your information, such as using photographs for marketing, you may withdraw it at any time by contacting us using the details below. This will not affect the lawfulness of processing carried out before your withdrawal.

DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In short: residents of certain US states may have additional rights over how their personal information is used, in line with their state's privacy law.

If you are a resident of a US state with its own comprehensive privacy law, you may have rights including the right to know what personal information we hold about you, access it, correct inaccuracies, request its deletion, obtain a copy of it, and not be discriminated against for exercising these rights. We do not sell personal information.
